Function

SUPPORT FUNCTIONS - FACILITIES

Main Goal

To replace a position as a facility manager to oversee all building related activities including Environment Health and Safety. Since Japan administration department was established in 2018 it has been developped into various areas.  The position will focus mainly on Japan but it may be expanded to Asia.

Job description

  • Develop and implement a facility management program including preventative maintenance (conduct and document regular facilities inspections)
  • Ensure compliance with health and safety standards and industry codes
  • Perform EHS related activities such as organizing evacuation drill, mandatory EHS monthly meeting.
  • Assure security of the facility such as responding to facility and equipment alarms and system failures
  • Allocate and manage facility space for maximum efficiency
  • Supervise maintenance and repair facilities and equipment
  • Oversee facility refurnishment, renovations and coordinate intra-office moves
  • Plan and manage facility central services such as security, cleaning, catering, waste disposal
  • Implement best practice processes to increase efficiency
  • Obtain quotes and tenders from vendors and suppliers
  • Calculate and compare costs for goods and services to maximize cost-effectiveness
  • Negotiate contracts to optimize delivery and cost savings
  • Coordinate and monitor activities of contract suppliers
  • Manage contractor and vendor relationships 
  • Ensure delivery schedules, quantity and quality criterias are met
  • Check completed work by contractors and vendors and verify payment and invoicing match contract pricing
  • Prepare and track facility budget and monitor expenses and payments
  • Generate and present regular reports and reviews of facility-related budgets, finances, contracts, expenditures and purchases
  • Develop and implement cost reduction initiatives
    advise on and monitor energy efficiency

Skills: what we expect of you

In order to provide better services to the employees you will need to be proactive rather than reactive, and vigilant meaning to be a self-starter and make proposals. 

You are well-organized, able to handle all facility management related requests swiftly and optimize the use of space and equipment while reducing operating costs considering safety as a first priority. Leadership abilities and phenomenal efficiency can be highly appreciated considering various requests and tasks coming along.

 

Excellent communication skills both Japanese and English are required
