As the Executive Assistant to both our CEO and Directors, you will be essential to drive increased effectiveness of our leaders by managing business trips and solving complex problems, is motivated by flawless execution, enjoys and excels in behind-the-scenes supporting roles for organizing different types of events. This role will require a sharp, experienced executive assistant who will also be responsible for the internal communication and the management of the fleet car policies.
Ensure the CEO and director's agenda, activities, meetings and business trips are aligned with their priorities through demonstrated understanding of the business requirements
Organize and attend meetings, as per the CEO request, sharing agenda prior to the meetings, prepare minutes and resolutions
Prepare presentations for the CEO and directors as requested.
Preparing correspondence, tables and other documents, as well as arranging for their reproduction and circulation.
Organize and keep archived documentation related to the executive team members
Request and arrange reservations for airline tickets and hotels, car reservations, per diems and other measures related to the executive team members.
Prepare trips, receive and accompany visitors and employees on behalf of the CEO and/or directors.
Translate documents when requested by management team.
Assist with general administration tasks when requested.
Responsible for maintaining Curitiba’s office fully operative
Ensure contracts are executed and contacts are well established with service providers for the Curitiba office (cleaning, maintenance, travel agency etc.).
Control the receipt and issuance of correspondence, protocol, register and distribute documents.
Create and prepare effective communications, announcements etc. for the BU and countries, in alignment with CEO and HR Director, ensuring internal communications’ flow (memos, newsletters, etc.) are targeted to the right audience
Organize internal and external events such as Christmas party, special Celebrations, Training arrangements and other company events
Perform administration, management and control of the company’s fleet vehicles and car rental companies
Manage and keep the fleet vehicles policy up to date in accordance with local requirements.
Graduation: Executive Secretary/ Administration or related areas
Languages: Fluent English
Desirable: Spanish or French
Minimum: 5 years in roles assisting CEO
